Status beats schedule
An accepted, declined, replaced, or stop-contact quote should not remain in an automated reminder sequence. Check email, SMS, phone notes, the CRM or job system, and colleagues before treating silence as the latest event.
Answer before you nudge
A customer question, requested scope change, or chosen revisit date is already the next action. Resolve it directly. Sending the next scheduled reminder as though no reply arrived creates confusion and can damage trust.
Expiry is a review point
When a written validity date has passed, do not assume the old price, scope, or availability still applies. Reconfirm them through the business’s normal process before inviting acceptance. Expiry does not prove the customer declined.
Use silence as a reason to simplify, then stop
A short wait, one useful clarification, a clear decision request, and a final closeout are enough for most manual sequences. The exact timing depends on the work, the customer’s instructions, and any contractual or regulated process.
