How to close a quote after no response
Silence should not leave a quote open forever. Check the record, send one final message with an easy answer, record the result, and stop following up.
1. Check whether the customer already answered
Look through the normal email, SMS, phone, CRM, and booking channels before sending anything. Confirm that a colleague did not receive a reply and that the quote was not accepted, declined, replaced, or changed. Repeated contact after an answer is an operational problem, not a copywriting problem.
2. Send one message with a clear consequence
Explain that you will close the quote rather than keep chasing. “Close” should mean updating your own pipeline; it should not pretend the customer has lost a special deal or that the work can never be discussed again.
3. Make “no” easy to say
A customer may avoid replying because they expect a sales argument. Offer honest outcomes: proceed, clarify or revise something, revisit around a date they choose, or close it. Do not keep a “later” quote active without a real date or customer request.
4. Update the record and stop
Use a truthful status such as WON, LOST, LATER, or CLOSED. Record a revisit date only if the customer chose one. If they decline or ask not to be contacted, stop immediately. If they return later, confirm current scope, price, validity, and availability rather than assuming the old quote still applies.
When not to send a final message
Do not send it after a stop-contact request, when another team member is already handling the conversation, or when the message would conflict with the business’s written acceptance or cancellation process. For disputes, safety issues, or regulated work, use the appropriate business process rather than a generic template.
