Use the inspection record and written quote. Be precise about what was observed and what remains uncertain. Avoid implying that a treatment covers pests, areas, or outcomes that are not stated.

Resolve the next practical decision

Hi [First name], the main decision on the quote is [access/preparation/treatment option]. If you confirm that point, I can update the scope in writing before you decide.

This gives the customer one useful action instead of another generic “just checking in” message. Record changed treatment areas, methods, price, or warranty terms in a revised quote.

Use genuine timing only

Hi [First name], I currently have [real appointment window] available for the quoted work. If that suits, I can confirm the preparation and booking requirements. If not, tell me the timing you need.

Do not claim an infestation will worsen by a certain date unless you have a documented professional basis. Availability is useful only when it is current and not presented as a fake deadline.

Close the loop respectfully

Hi [First name], I haven’t heard back, so I’ll close the pest control quote for now and won’t keep following up. If you revisit it later, get back in touch and I can confirm the current scope, price, and availability. [Your name]
