What to say when a customer is comparing quotes

Do not rush to discount or attack the other provider. Help the customer check whether scope, materials, exclusions, timing, and the next step are genuinely comparable.

A short SMS response

Thanks for letting me know. It makes sense to compare the options. If useful, I can clarify what our quote includes, excludes, and assumes so you can compare the scope like for like. Is there one part you want me to explain?

An email response

Subject: Comparing the [work] quotes Hi [First name], Thanks for the update. When you compare the quotes, check whether the scope, materials or deliverables, exclusions, timing, and follow-up work are the same. I am happy to explain anything in ours without making assumptions about another provider. Is there a particular difference or question you would like me to clarify? Thanks, [Your name] [Business]

Ask what is actually different

“We are comparing quotes” may mean the customer needs time, sees a price difference, is unsure about an inclusion, or has not decided whether to proceed at all. One useful question is better than a paragraph defending every line.

Clarify only what the written quote supports

Point to the real scope, specification, deliverables, assumptions, exclusions, validity, and timing. Do not invent extras, imply another quote is unsafe, or claim yours is the cheapest or best without evidence. If the scope needs changing, issue a clear revision through the normal business process.

Do not discount before you know the concern

A lower total may require a different scope, not a mystery discount. If a smaller option is appropriate, state exactly what changes and whether that affects performance, timing, warranty, compliance, or deliverables. Some work cannot responsibly be reduced.

Set a finite next step

No problem. Would you like me to check back around a date you choose, or leave the quote with you and close it for now? If you return later, I can confirm current pricing and availability.

If the customer declines or asks not to be contacted, record the answer and stop.
