What each column is for

Quote ID and sent date

Use the same non-customer reference as the actual quote. The sent date anchors the review schedule and helps distinguish a fresh quote from one that has been sitting untouched.

Quote value and status

Open quote value is pipeline, not revenue. Keep the status set small: OPEN while a decision is outstanding, WAITING when the customer gave a real future date, WON or LOST when the decision is known, and CLOSED when no further action is appropriate.

Next action date and action

Every open row should have one truthful next step—or “No further contact”. The date is a prompt to review the record, not permission to send blindly. Check email, SMS, phone, and colleague notes before contacting anyone.

How to use the CSV in Excel or Google Sheets

1. Add or review your rows above.
2. Select Export current rows to download a standard UTF-8 CSV.
3. Open it directly in Excel, or import it into a blank Google Sheet.
4. Sort by next_action_date and filter to OPEN or WAITING during a short daily review.

The blank download uses the same six fields and includes one example row. Delete the example before using it for your own work.

When a lightweight tracker stops being enough

A local list works while one person can keep it current. If several people contact the same customers, you need automatic stop-on-reply, access controls, an audit history, or the sheet regularly falls behind, use a suitable CRM or job-management system instead.
