ServiceTitan unsold estimate follow-up templates: review, contact, record.

ServiceTitan provides several ways to find open or unsold estimates. This workflow turns that queue into a short, useful sequence without pretending that every estimate needs another message.

What ServiceTitan currently documents

ServiceTitan’s current help documentation describes an Unsold Estimates area under Follow Up and an Opportunity and Estimate Follow Up report that can be run or scheduled. The report includes estimate status, age, follow-up dates, the number and date of prior follow-ups, and opportunity status. Its estimate workflow also documents logging a follow-up and choosing a next follow-up date.

A separate ServiceTitan help article describes an account-dependent setting that can automatically resend an unaccepted estimate after a chosen number of days. It also notes limitations such as business-unit filtering, for which a scheduled report and manual follow-up may be needed. A conservative workflow for open estimates

  1. Filter before contacting. Exclude sold, dismissed, outdated, duplicate, and already-answered opportunities.
  2. Use the first message to check receipt. Do not turn a delivery check into a hard sell.
  3. Record the result and next date. A reply or status change should prevent the next generic touch.
  4. Ask one decision question. Clarify scope, timing, or options using facts from the estimate.
  5. Close the loop. Send one final message when appropriate, record the outcome, and stop.

Use automatic resend carefully

An automatic resend is still a customer contact. Preview its timing and content, confirm which estimates qualify, and test stop behaviour in your own configuration. A scheduled report plus reviewed manual messages can be safer when business unit, customer context, or estimate type changes what should happen.

Stop conditions come first

Stop when the customer replies, buys, declines, asks not to be contacted, or the estimate is no longer current. Do not manufacture urgency or promise that a price or appointment is held. ServiceTitan configuration varies; the account’s actual settings and customer history control.
